Customer Service Coordinator – Luxury Brand NYC

This role will support the Customer Service department with Account Administration, order management, EDI, shipping, and general office needs. The Coordinator will report to the Director of Logistics and Customer Service while supporting all members of Customer Service.

Base Pay Range

  • $65,000.00/yr - $75,000.00/yr

Mission

  • Account Administration
  • Primary contact for several accounts including Wholesale (Department Stores and Specialty Boutiques), Corporate Retail and Ecommerce.
  • Liaise between sales team, buyers and counterparts at Italian HQ.
  • Update and analyze business reports, including prepayments invoices and order.
  • Enter and transmit orders for all brand sales lines.
  • Confirm orders.
  • Train and supervise temporary staff.
  • Market new seasons – available weekend, fill out copy requests (manual process).
  • Manage EDI Catalog (UPC – NRF Color code).
  • Match EDI orders with initial orders and communicate with buyers.
  • Maintain records of EDI compliance with customer approvals/waivers, report POs in progress.
  • Analyze daily inbounds and proactively release shipments.
  • Monitor stock levels using the logistics report to prepare the allocations.
  • Process customer invoicing using the system.
  • Work with accounts receivable to coordinate shipping with payments (pre-payment customers), support research/reversal of chargebacks.
  • Process spare parts, including repairs/inquiries and follow through up to resolution.

Profile

  • Associate's Degree or higher.
  • Minimum 3 years’ experience in a similar role.
  • Advanced Excel and analytical skills (pivot and VLOOKUP required).
  • EDI knowledge and experience.
  • Exceptional organizational skills, high attention to detail and reliable work ethic.
  • Efficient communication and reporting skills.
  • Works well and efficiently in a team and has a proactive attitude.
  • Must be able to multitask in a high‑paced work environment.
  • Comfortable working extended hours and weekends during busy seasons.
